Paying staff accurately on holidays requires attention to union contracts and policies that determine the rules for how holiday time should be handled for each employee group. This is a reference guide only. The language in the contract or policy governs how holiday time is assigned and paid and should be directly consulted where there are questions or challenges about holiday pay.  

A "holiday" is defined as a calendar day (12:00 a.m. to 11:59 p.m.) that the university assigns as an observed holiday . This may differ from the date of the actual holiday. Local 324 employees have an exception to this. See Paragraph 115 of the 324 Collective Bargaining Agreement .

The HR-Payroll System enforces many of the holiday pay rules based on the work schedule assigned to the employee and the attendance and absence codes entered. For this reason, it is important to maintain an accurate work schedule in the HR-Payroll System for each employee and enter accurate attendance and absence codes. For some employee groups, holiday pay calculations will differ depending on whether the employee would normally be scheduled to work the day of an observed holiday. Time Entry Guidance by Employee Group (Union and Non-Union)

Contract/Policy Language Paid Time and one half for any work performed on a holiday. Any work performed over 8 hours on a holiday will be paid at time and one half and calculated using double the hourly rate.
NOT Working - Time entry requirement N/A - Employee will automatically be paid a maximum of 8 hours for the holiday if scheduled for the holiday and not working on the holiday.
WORKING - Time entry requirement Units should determine the appropriate overtime attendance code for the work performed.
Additional Time Off Required if Working No
Contract/Policy Language Employees required to work on a holiday will be paid time and one half for work performed, in addition to the paid holiday.
NOT Working - Time entry requirement N/A - Employee will automatically be paid a maximum of 8 hours for the holiday if scheduled for the holiday and not working on the holiday.
WORKING - Time entry requirement Enter Regular Additional Hours (2010) (Enter hours worked, automatically paid at time and one-half).

Contract/Policy Language In addition to eight (8) hours holiday pay for maintenance series and twelve (12) hours holiday pay for operations series, an employee who works on the holiday will be paid two (2) times his/her hourly rate and shift premium if applicable but in no event shall he/she receive more than a total of three (3) times his/her hourly rate and shift premium if applicable for the time worked. 
NOT Working - Time entry requirement Yes -Enter 2280- Holiday-No Work. Enter 12 hours for Operators (ESG:B3) and 8 hours for Maintenance (ESG:B2). Contract/Policy Language Employees who are required to work on any University designated holiday shall be paid at a rate of one and one-half (1 ½) times their regular rate of pay plus holiday pay. An employee shall not receive more than 2 ½ times their regular rate of pay for hours worked on a holiday. Employees shall be scheduled to work on a designated holiday in accordance with Article 43 (Equalization of Overtime).
NOT Working - Time entry requirement Yes -Enter 2280- Holiday-No Work.  Enter hours proportionate to employment percent brackets  (90% to 100% employed - enter 8 hours, 65% to 89% - enter 6 hours, 50% to 64% - enter 4 hours)

APA

Contract/Policy Language Time and one half is paid for work performed on the observance date of the holiday and not on the calendar date of the holiday, if different. Employees level 12 and above shall receive this time as compensatory time.
NOT Working - Time entry requirement N/A - Employee will automatically be paid a maximum of 8 hours for the holiday if scheduled for the holiday and not working on the holiday.
WORKING - Time entry requirement

For level 11 or below, enter Regular Additional (2010) or Compensatory Time Earned (2799). (Enter hours worked, automatically paid/earned at time and one-half).

For Level 12 and above, enter Compensatory Time Earned (2799). (Enter hours worked, automatically earned at time and one-half).

Contract/Policy Language

Time and one-half (1-1/2) is paid for those who are required to perform work with prior approval of their supervisor, on the observance date of the holiday, and not on the calendar date of the holiday, if different. In addition, an alternate day off will be given.

NOT Working - Time entry requirement N/A - Employee will automatically be paid a maximum of 8 hours for the holiday if scheduled for the holiday and not working on the holiday.
WORKING - Time entry requirement For all levels, enter Regular Additional (2010) or Compensatory Time Earned (2799). (Enter hours worked, automatically paid/earned at time and one-half).
Additional Time Off Required if Working Yes - the number of hours worked on the university observed holiday(s) should be given additionally as paid time off.

CTU

Contract/Policy Language Employees required to work on any University designated holiday shall be paid at a rate of one and one half times their base rate of pay plus holiday pay or by mutual agreement, may be given compensatory time off at one and one-half times the number of hours plus the holiday.
NOT Working - Time entry requirement N/A - Employee will automatically be paid a maximum of 8 hours for the holiday if scheduled for the holiday and not working on the holiday.
WORKING - Time entry requirement Enter the hours worked on the holiday as Regular Additional Hours (2010) or Compensatory Time Earned (2799). (Enter hours worked, automatically paid/earned at time and one-half).
