Data Definitions (HRP1186)

The data columns used in the Educational Assistance Usage reports are defined on this page.  

Educational Assistance Usage – Detail:

  1. Organization Code:  The primary college or MAU code in which the employee is assigned.
  2. Organization Name:  The primary college or MAU name in which the employee is assigned.
  3. Department Code: The primary department code in which the employee is assigned. 
  4. Department Name: The primary department name in which the employee is assigned. 
  5. Sub-Org Code: The sub-org code in which the employee is assigned (if applicable).
  6. Sub-Org Name: The sub-org name in which the employee is assigned (if applicable).
  7. Academic Year:  The academic year span of the course the employee has used educational assistance.  
  8. Calendar Year:  The calendar year of the course.  
  9. Term Code:  The course term code.  
  10. Term Description:  The course term description.
  11. Person ID:  An HR/Payroll system generated number linking a person to all their assignment(s).
  12. Personnel Number (PERNR): An HR/Payroll system generated number linking a person to an assignment. A person with concurrent employment will have multiple PERNRs but only one PERSID.
  13. First Name: The first name of the employee as indicated in the HR/Payroll system.  
  14. Middle Name: The middle name of the employee as indicated in the HR/Payroll system.
  15. Last Name: The last name of the employee as indicated in the HR/Payroll system.
  16. Personnel Sub-Area Code: The personnel subarea code assigned to the employee in the HR/Payroll system. The principal organization aspects of HR are controlled at this level, including work schedules, pay scales, public holiday calendar, and wage types. 
  17. Employee Sub-Group Name: The employee subgroup.  All control features of the Personnel Structure are defined at the Employee Subgroup level including specific payroll calculations for hourly or salaried employees, work schedules, and benefit groupings.
  18. Course Type:  The course type.  If the class category code:
    1. NCLSO = MSU(PDS/ITS)
    2. NCNLS = Non-MSU Non-Credit
    3. CCMSU = MSU Credit Course
    4. CCNMS = Non-MSU Credit Course
  19. Course Level:  The level of the course taken.  Field will be blank except for course types ‘MSU Credit Course’ and ‘Non-MSU Credit Course’.
  20. Institution Code:  If applicable, the institution code holding the course will be listed.  
  21. Institution Name:  The institution name holding the course.
  22. Course Code:  If applicable, the course code will be listed.
  23. Course Title:  The title of the course taken.  
  24. Number of Credits:  The number of credits allocated to the course.   If course type code is ‘NCLSO’ or ‘NCNLS’, credits will be 0.  
  25. Cost of Class:  The dollar amount cost of the class (course).  
  26. Award Amount:  The dollar amount awarded for the cost of the class (course).
  27. Amount Difference:  The dollar amount difference of the class cost less the award amount.
  28. Class Start Date: The start date of the class (course). 

 

Educational Assistance Usage – Summary:

  1. Organization Code:  The primary college or MAU code for the course type containing employees matching the selection criteria.
  2. Organization Name:  The primary college or MAU name for the course type containing employees matching the selection criteria.
  3. Department Code: The primary department code for the course type containing employees matching the selection criteria. 
  4. Department Name: The primary department name for the course type containing employees matching the selection criteria. 
  5. Course Type:  The course type.  If the class category code:
    1. a.       NCLSO = MSU(PDS/ITS)
    2. b.       NCNLS = Non-MSU Non-Credit
    3. c.       CCMSU = MSU Credit Course
    4. d.       CCNMS = Non-MSU Credit Course
  6. Number of Employees:  The number of employees within the organization, department, and course type that have used educational assistance during the date range specified.  
  7. Total Number of Courses:  The total number of courses for the employees within the organization, department, and course type that have used educational assistance during the date range specified.
  8. Total Amount Used:   The total dollar amount of educational assistance used for the total number of courses for the employees within the organization, department, and course type during the date range specified.
