Data Definitions (HRP1125)

The data columns used in the Employee Demographics report are defined on this page.  The report is sorted by Organization Code, Department Name, SubOrg Name, Last Name, First Name.

  1. Organization Code:  The primary college or MAU code in which the employee is assigned.
  2. Organization Name:  The primary college or MAU name in which the employee is assigned.
  3. Department Code:  The primary department code in which the employee is assigned.
  4. Department Name:  The primary department name in which the employee is assigned.
  5. SubOrg Code:  The sub-org code in which the employee is assigned.
  6. SubOrg Name:  The sub-org name in which the employee is assigned.
  7. Personnel Number:  An HR/Payroll system generated number linking a person to an assignment.  
  8. Employment Status:  The employment status identifies whether the employee is an active or inactive employee or withdrawn from employment at the university.  
  9. Last Name:  The employee’s last name as indicated in the HR/Payroll system.  
  10. First Name:  The employee’s first name as indicated in the HR/Payroll system.
  11. NETID:  The employee’s MSU NetID as indicated in the HR/Payroll system.  
  12. Job Group:  The job group code assigned to the employee’s job title or classification.  The job group code is a combination of EEO code and AAP code.  
  13. Job Title:  The employee’s primary job title or classification in which the employee is assigned.  
  14. Hire Date (Continuous Service Date):  The date the employee was hired without any breaks in service.  
  15. Contract:  The work contract:  Fixed Term, Tenure/Contin, Contract, Roll/Fixed Cntr (if applicable).
  16. Pay Scale Level:  The number level signifying range of possible pay assigned to the employee’s job title or classification.  
  17. Annual Salary:  The employee’s base salary.  
  18. Employment Percent:  The percent of employment the employee is working.  
  19. FTE Salary:  The base salary for a full year at 100% employment.  
  20. Time in Level Date:  The date the employee entered the pay grade (scale) level.  
  21. Years in Level:  Indicates the number of years the employee has been in their current position based on the employee's Time in Level Date to the "As of Date" in the report prompts.  
  22. Years of Service – RED:  Indicates the number of years the employee has been in a position eligible for retirement.  Is based on the employee's Retirement Eligibility Date to the "As of Date" in the report prompts. 
  23. Years of Service – CSD:  Indicates the number of years the employee has been employed without any breaks in service.  Is based on the employee's hire date (continuous service date) to the "As of Date" in the report prompts.  
  24. Primary Assignment End Date:   The end date of the employee’s primary assignment as indicated in the HR/Payroll system.  
  25. Personnel Subarea Code:  A further breakdown of the Personnel Area.  The principal organization aspects of HR are controlled at this level, including work schedules, pay scales, public holiday calendar, and wage types.  
  26. Employee Group Name:  Union, Non-Union.  The employee group allows you to divide your employees into groups and allows you to define their relationship to the enterprise.  It classifies employees into general groups for processing of Payroll, Time and Benefits.  
  27. Employee Subgroup Code:  Code assigned to the Employee Subgroup Name.  
  28. Employee Subgroup Name:  A further breakdown of Employee Group.  All control features of the Personnel Structure are defined at the Employee Subgroup level including specific payroll calculations for hourly or salaried employees, work schedules, and benefit groupings.
  29. Birth Date:  The employee’s birth date as indicated in the HR/Payroll system.  
  30. Age:  The employee’s age based on their birth date to the "As of Date" in the report prompts.   
  31. Gender:  The employee’s gender as indicated in the HR/Payroll system.
  32. Race/Ethnicity:  The employee’s race/ethnicity as indicated in the HR/Payroll system.
  33. Protected Veteran Status:  The employee’s protected veteran status as indicated in the HR/Payroll system.
  34. Disability Status:  The employee’s disability status as indicated in the HR/Payroll system.
  35. Citizenship:  The employee’s residence status as indicated in the HR/Payroll system.
  36. Citizenship Country Name:  The employee’s citizenship country name as indicated in the HR/Payroll system.  
  37. Visa Type:  The employee’s visa type as indicated in the HR/Payroll system.  
  38. ID Issuing Authority:  Indicates the employee’s visa status as indicated in the HR/Payroll system.
  39. Supervisor Name:  Name of the employee’s primary supervisor as indicated in the HR/Payroll system.  
  40. Work Addr Line 1:  The employee’s work location Address Line 1 as indicated in the HR/Payroll system.  
  41. Work Addr Line 2:  The employee’s work location Address Line 2 as indicated in the HR/Payroll system.
  42. Work City, State, Zip:  The employee’s work City, State and Zip code as indicated in the HR/Payroll system.
  43. Work Address Restricted Flag:  The Y or N restriction flag to restrict publication of work address set by the employee.  
  44. Work Address Restricted Reason:  The work address restriction reason set by the employee.  
  45. IPF Crew:  Indicates the position resource type assigned to the employee’s position.  This only applies to position resource types 9005 and 9048.
