 Explanation Notes for Reason Codes

  • The system will provide a “hard stop” warning and explanation of which section needs a comment.
  • If the reason code BH (Salary/Wage Increase-Other) or BI (Interim Duties Increase) is used, you must include a comment in the Other Comment for Salary Change section.
  • If reason code B7 is used, a comment is required if the new rate is 5% greater than original rate.
  • Reason codes BA (Add Salary Admin Increment), B3 (Equity adjustment), BC (Special Increase), BG (Education), BH (Salary, Wage Increase-Other), BJ (Change/Remove Salary Admin Inc) always require comments.
  • A comment is required in “Salary Reduction” section anytime there is a decrease in salary, BB (Salary/Wage Decrease).  

Attachments Required for Reason Codes

  • The system will provide a “hard stop” warning if an attachment is required.
  • If reason code B3 (Equity Adjustment), B7 (Merit), BC (Special Increase), BH (Salary/Wage Increase-Other), or BI (Interim Duties Increase) is used for Support Staff, an attachment will be required.
