Data Definitions (HRP1197)

The data columns used in Tenure Faculty Eligible for Sabbatical Leave report are defined on this page.

  1. Organization Code-Name:  The primary college or MAU in which the employee is assigned.
  2. Department Code-Name: The primary department in which the employee is assigned.
  3. Sub-Org Code-Name: The primary sub-org in which the employee is assigned.
  4. Person ID: An HR/Payroll system generated number linking a person to all their assignments.
  5. Personnel Number: An HR/Payroll system generated number linking a person to an assignment. A person with concurrent employment will have multiple PERNRs but only one PERSID.
  6. Last Name: The last name of the employee as indicated in the HR/Payroll system.
  7. First Name: The first name of the employee as indicated in the HR/Payroll system.
  8. Middle Name: The middle name of the employee as indicated in the HR/Payroll system.
  9. Job Code: The employee's primary job code in which the employee is assigned.
  10. Job Title: The employee's primary job title or classification based on the job code in which the employee is assigned.
  11. Employment Status: The employee’s tenure status; With Tenure or Tenure Sys Prob
  12. Personnel Subarea: The personnel subarea assigned to the employee. 
  13. Employee Group: The employee group assigned to the employee.
  14. Employee Subgroup Code: The employee subgroup code assigned to the employee.
  15. Employee Subgroup Name: The employee subgroup name based on the employee subgroup code assigned to the employee.
  16. Continuous Service Date: The date the employee was hired without any breaks in service.
  17. Years of Service: The number of years the employee has worked in a benefits eligible position at MSU.  Is based on the employee’s hire date (continuous service date) to the current report date.  Is calculated across all assignments.
  18. Current Employment Percent: The percent of employment the employee is working at the current position.
  19. Previous Employment Percent: The percent of employment the employee is working at their previous position.
  20. Prev Emp% End Date:  The date the employee’s previous employment percentage ended.   
  21. Supervisor: Name of the employee’s supervisor as indicated in the HR/Payroll system.
  22. Sabbatical Status: These are the status indicators:
    1. Not eligible - Not Tenured = employee status is Tenure Sys Prob.
    2. Not eligible - Not currently full time (< 90%) = employee’s employment percent is less than 90.
    3. Not eligible - Not Employed At Least 6 Years = employee has not been employed for at least 6 years.
    4. Not eligible - Previous Emp% < 90 = employee’s previous employment end date is less than 6 years from current date and employment percent less than 90.
    5. Eligible - No Sabbatical taken since at least 2010 = employee has no previous employment percent, their current employment percent is greater than 90, their status is ‘With Tenure’, their continuous service date year is equal or greater than 6 years based on the current year, and they have not had a recent sabbatical.
    6. Eligible - Most recent Sabbatical at least 6 years ago = employee has no previous employment percent, their current employment percent is greater than 90, their status is ‘With Tenure’, their continuous service date year is equal or greater than 6 years based on the current year, and their most recent sabbatical is equal or greater than 6 years based on the current year.
    7. Not eligible - Sabbatical leave taken or will be taken within 6 years = employee has taken a sabbatical leave or will take one less than 6 years based on the current year OR employee has taken a sabbatical leave or has taken one greater than 6 years based on the current year and their most recent return leave date is less than 6 years based on the current year.
    8. Currently on Sabbatical or Future Sabbatical Planned = employee is currently on sabbatical or future sabbatical is planned based on the actions.
  23. Eligibility Indicator: The Eligibility Indicator will be YES or NO based on the Sabbatical Status. 
  24. Action Effective Date: Indicates the employees’ leave of absence action effective date.
  25. Action Type: Indicates the employees’ leave of absence action type. 
  26. Action Reason: Indicates the employees’ leave of absence action reason.
