Data Definitions (HRP1154)

The data columns used in the Staff Counts reports are defined on this page.

Data definitions for the Staff Count by Organization report: 

  1. Organization Name:  The college or MAU code selected from the report prompts.  When selected from the report, it provides a “drill down” report with the staff counts broken down by department within the organization.  
  2. Employee Category:  Lists the employee category for which there are staff for within the Organization.  
  3. Active Employees:  The number of active employees per employee category within the Organization selected.  
  4. Active FTE:  The number of active full-time equivalent employees per employee category within the Organization selected.  The hours of full-time, part-time, etc., active employees are summed up into measurable ‘full-time’ units.  
  5. Inactive Employees:  The number of inactive employees per employee category within the Organization selected.
  6. Inactive FTE:   The number of inactive full-time equivalent employees per employee category within the Organization selected.  The hours of full-time, part-time, etc., inactive employees are summed up into measurable ‘full-time’ units.
  7. Organization Code-Name Total:  Total of Active Employees, Active FTE, Inactive Employees, and Inactive FTE for the organization.  
  8. Open Postings for <Org Code>:  When the highlighted code is selected, it provides a “drill down” report of the open postings for each department within the organization.

Data definitions for the Staff Count by Department report: 

  1. Department Name:  The department code and name selected from the report prompts.  When the “field” is selected, it provides a “drill down” report with the staff counts broken down by department within the organization.
  2. Employee Category:  Lists the employee category for which there are staff for within the Department.  
  3. Active Employees:  The number of active employees per employee category within the Department selected.  
  4. Active FTE:  The number of active full-time equivalent employees per employee category within the Department selected.  The hours of full-time, part-time, etc., active employees are summed up into measurable ‘full-time’ units.  
  5. Inactive Employees:  The number of inactive employees per employee category within the Department selected.
  6. Inactive FTE:   The number of inactive full-time equivalent employees per employee category within the Department selected.  The hours of full-time, part-time, etc., inactive employees are summed up into measurable ‘full-time’ units.
  7. Department Code-Name Total:  Total of Active Employees, Active FTE, Inactive Employees, and Inactive FTE for the department.
  8. Open Postings for <Dept Code>:  When selected, it provides a “drill down” report of the open postings for the department.

Data definitions for the Open Postings by Department report:

  1. Department Name:  The department code and name selected from the report prompts.  When the “field” is selected, it provides a “drill down” report with the staff counts broken down by department within the organization.
  2. Total Open Postings:  Count of the total open postings for the department.  
  3. Posting Number:  The posting number assigned to the open position.  
  4. Job Code:  The job code assigned to the position.
  5. Job Title:  The job title assigned to the position.  
  6. Position Number:  The position number assigned to the job and position.
  7. Position Title:  The position title assigned to the job and position. 
  8. End Dated Position:  Indicates Y or N if the position is end dated.  
  9. Posting Status:  Provides the status of the open position.  
  10. Internal Posting Date:  Indicates the date the position was posted to internal employees.    
  11. Internal Closing Date:  Indicates the date bidding eligibility ends for internal employees.  
  12. External Posting Date:  Indicates the date the position was posted to external candidates.  
  13. External Closing Date:  Indicates the date the position will be closed to internal and external candidates.
