Report PromptS - HRP053
When running the Active Employee Listing report, users will be presented with prompts to identify parameters and sets of data to be included in the report results.
Multiple types of searches can be performed:
- Enterprise Structure Search: Returns a summary page of all employees who meet the enterprise structure selections in the prompts.
- Organizational Search: Returns a summary page of all employees who meet the organization selection in the prompts.
- Employee-Specific Search: Returns a detail page of specific employee(s) selected in the report prompts.
Enterprise Structure Search
Prompt #1: Select the 'As of Date' (required)
Select the employee active status 'As of Date'. Data will pull as of the date selected and defaults to today’s date. A previous date or future date can be selected. This prompt is required.
Prompt #2: Select Personnel Area (required)
By default, both Personnel Areas offered are selected. This prompt is required. Select one of the personnel areas to exclude it from the search.
Prompt #3: Select Personnel Sub Area(s) (required)
By default, all Personnel Sub Areas offered are selected. This prompt is required. Select one of the personnel sub areas to exclude it from the search, or select Deselect all and then select the personnel sub areas to be included.
Prompt #4: Select Employee Group(s) (required)
By default, all the Employee Groups offered are selected. This prompt is required. Select one of the employee groups to exclude it from the search, or select Deselect all and then select the employee group(s) to be included.
Prompt #5: Select Employee Sub Group(s) (required)
By default, all the Employee Groups offered are selected. This prompt is required. Select one of the employee sub groups to exclude it from the search, or select Deselect all and then select the employee sub group(s) to be included.
Prompt #6: Select Organizations
Do not select an Organization to run the Enterprise Structure search across the university.
Prompt #7: Select Person Names
Do not select an employee to run the Enterprise Structure search across the university.
Select Finish to run the report.
Organization Search
Prompt #1: Select the 'As of Date' (required)
Select the employee active status 'As of Date'. Data will pull as of the date selected and defaults to today’s date. A previous date or future date can be selected. This prompt is required.
Enterprise Structure prompts (required)
Leave all values selected for each of the prompts to run an Organization search across the Enterprise Structure OR you can also select or deselect specific Enterprise Structure prompts to include or exclude in the Organization search.
Prompt #2: Select Organizations
Enter the Org/Dept Name or Org/Dept code in the Search field to search for. MAU (Org level) codes will not work, you must select an Org/Dept. This prompt is not required.
For a more inclusive search, click on the Options link and select the 'Contains any of these keywords' radio button. (Note: The Options default is ‘Starts with any of these keywords’). Then, click on the Search button.
All matching results will be returned in the Results column. To select the organization, click on the organization in the Results column and click on the Insert button to transfer the selection to the Choice field. To select more than one organization, hold down the “Ctrl” button on your keyboard until you’ve chosen all the organizations you want in the report.
Prompt #3: Select Person Names
Do not select an employee to run the Enterprise Structure search across the university
Select Finish to run the report.
Employee-Specific Search
Prompt #1: Select the 'As of Date' (required)
Select the employee active status 'As of Date'. Data will pull as of the date selected and defaults to today’s date. A previous date or future date can be selected. This prompt is required.
Enterprise Structure prompts (required)
Leave all values selected for each of the prompts to run an Employee-specific search.
Prompt #2: Select Organization(s)
Do not select an Organization to run the Employee-specific search across the university.
Prompt #3: Select Person Name
Enter the Person ID, Last Name or First Name in the Search field to search for a specific employee. For a more inclusive search, click on the Options link and select the 'Contains any of these keywords' radio button.
(Note: The Options default is ‘Starts with any of these keywords’, if using Person ID with the default option, leading zeros will need to be used. Leading zeros are not needed if use either of the "contains" options.). Then, click on the Search button.
All matching results will be returned in the Results column. To select the employee, click on the personnel number of the employee in the Results column and click on the Insert button to transfer the selection to the Choice field.
Select Finish to run the report.
