Pay Change & Cost Redistribution Activity
The Pay Change and Cost Redistribution Activity report is designed to track all pay rate/salary changes and cost redistributions and provide details of the transactions.
Steps
- Enter the desired selection criteria. Default status is Hold. Default dates are 1/1/1800 – 12/31/9999.
- Click Submit to run the report.
- Current status of transactions are viewable: Hold, Submitted/In Process, Approved, Rejected, Deleted.
After completion or review of variations click the house to return home, log out if finished or use the search to find another application.

Process
Status
- The Process Status section filters transactions based on the transaction’s status and the date range selected.
- Hold: Transactions currently on hold.
- Submitted/In Process: Transactions in workflow, not yet fully approved.
- Approved: Fully approved transactions.
- Rejected: Rejected transactions in workflow.
- Deleted: Deleted transactions no longer in workflow
- All: Transactions in all statuses. Select this option if you are unsure of the current status.

Date Range
- The date range in the Process Status section refers to the date on which the transaction achieved the selected status.

Selection Criteria
- These criteria limit the results by assignment (personnel number) and/or organizational unit.
- Personnel No.: Enter a Personnel Number (PERNR) if known, or look up a Personnel Number by name. You can also select a range of numbers using the to box, or click the multiple selection button to search for multiple single values or ranges to include or exclude.
- Organizational Unit: Enter the organization unit number if known, or search to select one from a list. (The list is sorted by org unit number; click the Org. Unit Short Text column heading to sort by name.) You can also select ranges or multiples just as you can Personnel Numbers.

Filter Criteria
- These criteria limit results by fund, funding period and reason.
- Initiator: Enter the initiator’s MSU NetID if known or look up MSU NetID by name to filter for transactions created by that person.
- Fund: Enter a fund if known, or search to look up a fund. You can use wildcards (*) in this field. You can also select ranges or multiples.
- Funding Period: Enter a date range to see records where the funding period includes this date range. The funding period may begin before or end after this period.
- Change Reason: Enter or look up a reason code to find only that type of change. For example, enter CH to find only permissible account changes. Click the multiple selection button to search for multiple single values or ranges to include or exclude.
To View Detailed Transaction Information
Steps
- Submit the report with selected criteria
- Double-click anywhere on a row to review details. The transaction opens, displaying the same information available when initiating the transaction or when viewing it for approval. All action screens, tabs and attachments are viewable.
Variations
- Requested Change action screen displays the new pay and/or cost distribution requested. There may be up to three tabs available to view:
- Click Base Pay to view salary or pay rate information.
- Click New Distribution to view changes to an employee’s funding or permissible accounts for an hourly paid employee.
- Click New Distribution Period Review to view a salaried or CT employee’s funding by period. Each unique funding period will be displayed by clicking on the arrows next to the dates in the top right corner above the funding lines.
- Double click Resulting Change action screen on the left to display the debits and credits associated with a change for a salaried or CT employee. Amount and funding changes (credits and debits) will be displayed by each unique funding period by clicking on the arrows next to the dates in the top right corner above the funding lines.
- Double click Original Data action screen on the left to display the employee’s pay record as it appeared before the requested change was made. This action screen contains the same tabs as the Requested Change action screen.
- Double click Explanation Notes action screen on the left to view comments submitted by the initiator.
- Double click Requested Change action screen on the left to access buttons for further action.
To view an attachment
To view an attachment
- Click on View Attach. The Attachment list window opens if the transaction has attachments.
- Double-click on the attachment you wish to view.
- If Information Dialog box appears, click OK.
- Click Open is message box below.
- When finished viewing the attachment, close the document window.
- Close the Attachment list window by clicking green check in the lower right corner.
To view workflow status and activity on the transaction
Steps
- Click Workflow Report button above Pers. No. to view initiator, past approvers, future approvals required, associated dates and status.
- Interpreting the workflow status for an individual request:
- When the request has been approved or rejected for a given level, the status column is color-coded green (Approved), blue (Rejected and Resubmitted), orange (Ad Hoc approved), or red (No Level Maintained) and the name of the person who approved or rejected is shown with action date and time. If the status is yellow, the item is in process or reserved by an approver.
- For the current approval level, the status is Ready for Approval and the names of all potential approvers are listed.
- For future approval levels, the status is Future Approver and the Approver ID column shows To be Assigned.
- If the message No Level Maintained appears in the status column, it indicates one of the following:
- Workflow changed after the request was initiated. Payroll will reject the request and the initiator can resubmit the request as is.
- Workflow has not been established for that employee group or there are no approvers at that level. Payroll will reject the request and the initiator should cancel workflow. Once workflow is set up, the initiator can submit a new request.
When finished viewing the Workflow Activity Report, click the Back button to return to the report to view another transaction.
When complete, click Home (house), log out, or search for another application.
To view Delta Information on a transaction
Steps
- Submit the report with selected criteria
- Click the box to the left of a line item to review
- Click the Details button
The results show pay and funding information along with identifying information. The New Amount, Old Amount and Delta Amount columns show the previous amount, requested amount and the difference between the two. If there is no difference between the amounts you see the message Since Old and New Amounts match, No Delta records.
Click the Back button to return to report to view another transaction.
When complete, click Home (house), log out, or search for another application.
