Report PromptS - HRP066

When running the Faculty/Academic Staff and Support Staff Listing Extract report, users will be presented with prompts to identify parameters and sets of data to be included in the report results.                                

Multiple types of searches can be performed:

  • Enterprise Structure search:  Returns a summary page of all employees that meet the enterprise structure selections in the prompts.
  • Organization search:  Returns a summary page of all employees that meet the enterprise structure and Organizational selections in the prompts.
  • Employee search:  Returns a summary page of specific employees selected in the report prompts and meet the enterprise structure prompts.

 

Prompt #1: Select the 'As of Date' (required)

Select the 'As of Date' for employment and salary information. Data will pull as of the date selected and defaults to today’s date. A previous date or future date may also be selected. This prompt is required.

Prompt #2: Enterprise Structure (required)

By default, all options for Personnel Areas, Personnel Sub Areas, Employee Groups and Employee Sub Groups are selected.  These prompts are required.  

Unselect any of the selections if necessary, or you can click on Deselect all to unselect all options and then click each selection separately as needed.  If any changes are made to the Enterprise Structure prompts, select the Update Selection button.

Prompt #3: Search by Prompt Option

This prompt provides the option to search by Organization or Person By default, Organization is selected.  

Prompt #3a: Search by Prompt Option - Organization

By default, the Search and Select One or More Organizations prompt is shown.

Enter the Organization Name or Organization code in the Search field to search for.   This prompt is not required.

For a more inclusive search, click on the Options link and select the 'Contains any of these keywords' radio button.      (Note:  The Options default is ‘Starts with any of these keywords’). Then, click on the Search button.

All matching results will be returned in the Results column. To select the organization, click on the organization in the Results column and click on the Insert button to transfer the selection to the Choice field.  To select more than one organization, hold down the “Ctrl” button on your keyboard until you’ve chosen all the organizations you want in the report.

Prompt #3bSearch by Prompt Option - Person Name

If select to search by Person Name, the Search and Select One or More Person Names prompt is shown.  

Enter the Person ID, Last Name or First Name in the Search field to search for a specific employee.  This prompt is not required.  

For a more inclusive search, click on the Options link and select the 'Contains any of these keywords' radio button.      (Note:  The Options default is ‘Starts with any of these keywords’, if using Person ID with the default option, leading zeros will need to be used.  Leading zeros are not needed if use either of the “contains” options). Then, click on the Search button.

All matching results will be returned in the Results column. To select the employee, click on the personnel number of the employee in the Results column and click on the Insert button to transfer the selection to the Choice field.

Select Finish to run the report.
